Vendor Event Reminders


 

The following reminders apply to all hired vendors and staff for event day. This includes caterers, beverage service, sound and music vendors, lighting, florists, decorators, photo-booths, etc.

Clients can feel free to direct your vendors to this page at any time before your event. Vendors can email us with any additional questions at thelighthousegcm@gmail.com.


Before event day

Please keep in mind:

  • All hired vendors must be licensed and insured.

  • Vendors who have not worked at The Lighthouse before are required to schedule and complete a pre-event walk-through with a Lighthouse Event Manager.

  • It is recommended that the client and/or planner schedule a pre-event walk-through with a Lighthouse Event Manager at least 60-90 days prior to the event.

  • Fog or Haze Machines are not allowed on the property. If used, a $500 fine will be imposed on the client.

  • Any type of sparkler or machine or apparatus that emits sparks are not allowed on the property, even if such an item claims not to produce a flame (such as Cold Spark). Such items are categorized as fireworks/pyrotechnics and are illegal. If used, the event runs the risk of being shut down by the Vallejo Fire or Police Department and a $500 fine will be imposed on the client. Any fine incurred to The Lighthouse will be passed onto the client.


Preparing for the Event

  • The Lighthouse does not provide power cords, power strips, ladders, tools, tape, trash bags, etc.

  • Vendors are responsible for all the items needed to execute services for the client. If you think you need it, please bring it.


Event Day vendor Arrival & Setup

Upon Arrival. Before bringing any equipment into the building or gardens, please check in with a Lighthouse representative for your setup location.

Load-in. Please do not prop open the doors to the Waterfront Room if the A/C is on. Use the handicap ramp on the west side of the building to roll any equipment onto the west garden or patio deck.

Equipment. Equipment must not be dragged across floors or leaned against anything in the Waterfront Room including walls, doors, pillars, etc., at any time (including during load-in, setup, the event, or load-out). Please plan accordingly.

Equipment Storage. Unless arrangements to store your equipment have been made with a Lighthouse Representative in advance, all equipment containers should be put back in vehicle(s) until load-out.

Tape is not allowed. Tape is not to be used at any time including inside the Waterfront Room or on floors or walls. Only mats or safety cord covers should be used for cords. Clients will be charged an extra cleaning fee if adhesive residue or damage to finishes are found.

Vendor Parking. After load-in and before guests arrive, all vendors and staff should park cars and event trucks in the parking lot located at 155 Glen Cove Marina Rd. The parking adjacent to the venue is for guests.

Power & Circuits. A map showing power outlet locations is available upon request.  Please inform a Lighthouse Representative immediately if a circuit trips on event day.


During the Event

Vendor Restrooms. Inside restrooms are for clients and guests only. Vendors may use the exterior restrooms. Please use the key located on the prep-kitchen bulletin board to unlock exterior restrooms and return the key.

Outdoor Sound. Outdoor sound systems should be limited to one speaker and/or must maintain 75 decibels or lower. Sound louder than 75 decibels for extended periods of time may prompt a noise complaint.

Outdoor Amplified Sound Curfew. All amplified outdoor music and sound must end by 7 pm or dusk, whichever comes first, at which point all music must move indoors.

Indoor Sound. All doors to the Waterfront Room must remain closed when music is on inside.

Indoor Sound Curfew. The final song should conclude no later than 20 minutes prior to the event end time.

Noise Complaints. In the event of a noise complaint, sound will be shut down immediately.

Musicians and Bands. Bands should have soft carpet (with non-abrasive backing) for as much of the equipment as possible. Drum sets must be set on carpet.

Smoking. Smoking is allowed outside only, 25 ft from the building.


End of Event & Vendor Departure

Trash. All trash accumulated by vendors should be removed from the premises for off-site disposal.

Load-out. Load-out is to be completed during the clients’ leasing period. Please confirm the end leasing time with the venue representative and allow yourself ample time to load-out. Any load-out after the leasing period has ended may result in an extra charge for the client.

Personal Belongings. All personal belongings should be removed from the facility. The Lighthouse is not responsible for any items left after the leasing period ends.

Vendor Departure. Please check in with the Venue Representative prior to your departure.
